ANNUAL MEETING OF THE COUNCIL 

The Annual Meeting of the Council will be held on Monday 9 May 2022 at 7.00pm at the Community Centre. Members of the public wishing to attend remotely should email web@llanddewibrefi.org in advance to request a link to the meeting.

AGENDA: 

  1. To elect a Chairman for the Council Year 2022/23. 
  2. To elect a Vice-Chairman for the Council Year 2022/23. 
  3. To receive the Chairman’s Declaration of Acceptance of Office. 
  4. To receive Councillors’ Declaration of Acceptance of Office. 
  5. To Confirm the Minutes of the Annual Meeting of the Council held on 17 May 2021 (Attached).
  6. To receive the Annual report of the Council for the year 2021/22 (To be e-mailed to members prior to the meeting). 
  7. To receive declarations of personal and personal/prejudicial interests. 
  8. To appoint Committees and Working Parties: 
    1. Hall Management Committee.
      (All members of the Council to be in membership with the Chairman and Vice-Chairman of the Council holding these respective positions).  
    1. Biodiversity Working Party (Duty under s6. Environment (Wales) Act 2016).
  9. Appointment of Representatives. 
    1. One Voice Wales Area Committee (Currently Councillors E Kincaid and E James). 
  10. Appointment of Trustees.
    1. Fuel Allotments charity (Charity number: 500142).
  11. Rates of Remuneration. To review the following: 
    1. Hourly rate payable to the Burial Clerk. 
    1. Chairman’s allowance.
    1. Members allowances.
  12. To Review the schedule of Burial Fees and Payments.
  13. To Appoint an Internal Auditor for 2022/23. 
  14. To Review the Fixed Assets Register (Register attached). 
  15. To Review arrangements for public participation at full Community Council meetings (in accordance with Section 48 of the Local Government and Elections (Wales) Act 2021).
  16. To Review and adopt Standing Orders and Financial Regulations. 
  17. To determine whether a review of the Council’s complaints procedure is required. 
  18. To Review the Council’s Risk Assessment Register (2021/22 Risk Assessment Register attached).
  19. To Review the Council’s Insurance Arrangements.
  20. To Review the Council’s subscription to One Voice Wales.
  21. To Review the Council’s procedures and adopt policies in connection with its obligations under the Freedom of Information Act 2000 and the Data Protection Act 2018 (GDPR). 
  22. To Review and adopt policies for Safeguarding and Volunteers.  
  23. To Determine the time and place of ordinary meetings of the full council up to and including the next annual meeting of full council.
